How we collect, use, share, and protect personal information gathered from users and customers.
Writingmate.ai is committed to protecting your privacy. This Privacy Policy explains what data we collect, how we use it, the rights you have over your data, and the safeguards we use to keep it secure.
1. Data We Collect
Account Information
Email address you provide when you sign up
Create and manage your account; send service‑related notices (e.g., product updates, changes to Terms & Conditions)
Onboarding Details
Information you may share during onboarding, such as username, job role, industry, or “How did you hear about us?”
Help us understand who our users are so we can make Writingmate more useful for different user groups; never sold or shared with advertisers
User Content (encrypted)
Conversations, prompts, documents, files, and configured agents you create in Writingmate. Content is stored so you can access history and features; it is encrypted in transit and at rest. Writingmate personnel cannot view your plaintext content and do not have direct access; content is not used to train AI models and is not sold.
Provide core features (history, file chat, workflows), enable retrieval/collaboration, and allow you to manage and delete your data.
Usage Analytics (activity metadata)
Non‑identifiable activity metadata such as creation timestamps and counts of conversations, prompts, uploaded files, and configured agents; feature usage events and performance metrics. Stored encrypted at rest.
Maintain service reliability, detect abuse, support quotas/account features, and guide product improvements.
We do not collect or store any payment card numbers or other sensitive payment data. All subscription payments are processed by Stripe; Writingmate’s servers never see or store your full payment information.
Note on content vs. analytics: We store your content (encrypted) to power features like history and file chat. We separately collect non‑content activity metadata for reliability and analytics. Activity metadata never includes your content and cannot be used to reconstruct it.
2. How We Use Your Data
Service Delivery – Operate, maintain, and improve Writingmate’s core features (e.g., chat, document generation).
Account Communication – Send essential emails such as password resets, security alerts, and material policy updates.
Product Updates (Optional) – If you opt‑in, we may email you feature announcements or tips to help you get the most from Writingmate. You can unsubscribe at any time by clicking the “unsubscribe” link found in every email we send.
Internal Analytics – Use aggregated, de‑identified metrics to monitor performance and plan future enhancements.
3. What We Don’t Do
No AI Training: Your conversations, documents, and other content are never used to train AI models.
No Data Selling: We do not sell, rent, or otherwise share your personal data with third parties for advertising or marketing.
No Advertising: Your data is not used for targeted advertising – neither on Writingmate nor elsewhere.
No Unauthorized Access: Our team cannot access your private data without your explicit consent (e.g., when you request support).
4. Data Ownership & Control
You Own Your Data. Every chat, document, and file you create in Writingmate is yours.
Permanent Deletion: From your user settings you can permanently delete your entire account at any time. This erases all associated data: profile, workspaces, chats, prompts, files, and API keys. This action is irreversible.
5. Security Measures
We employ industry‑leading technical and organizational measures to safeguard your information, including but not limited to:
End‑to‑end encryption in transit (HTTPS/TLS)
Encryption at rest for stored data
Strict access controls and regular security audits
Continuous monitoring for suspicious activity
6. Subscriptions & Payments (Handled by Stripe)
All payments are processed through Stripe, a PCI‑DSS Level 1 certified payment processor. Writingmate never stores or has direct access to your full credit‑card number, CVC, or other sensitive payment details. Stripe handles these details on our behalf and provides us with a secure payment token and limited billing metadata (e.g., last four digits, expiration month/year) so we can maintain your subscription.
7. Data Retention
We retain personal data only as long as necessary to:
Fulfill the purposes described in this policy;
Comply with legal obligations; and
Resolve disputes or enforce our agreements.
If you delete your account (see § 4), we purge all personal data from our active systems immediately, unless legal requirements mandate longer retention.
8. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we make material changes, we’ll notify you via email (to the address associated with your account) or through an in‑product notice before the changes take effect.
